- Working Deals
Version 8.0.46.0 4/29/08 The Working Deals screen allows a manager to work up to eight deals at the same time. Deals are displayed by Sales Manager and allow for changes to the deal, to the customer workscreen, and more.
There's a little setup involved to use this new feature. First, access has to be granted in User Access. Then, Sales Managers need to remember to check off their deals as Working Deals.
To open the Working Deals screen, you have to click on Working Deals on the Menu Bar (second toolbar from the top) for Prospect Logs or on the Menu Bar for any deal workscreens Or, from anywhere in PMOL, click on the Car-and-Dollar-Sign icon at the top of the page.
When you open the Working Deals screen, the left column can be toggled to display either Customers with Showroom Visits Today or the Recent Deals list. On the right side, you have to click on the Sales Managers link at the top of the page, and then choose a Sales Manager from the pop up list in order to see that manager's working deals.
The deals will be displayed by Customer Name. Click on one of the Customer Name links and a menu appears with buttons for Print Proposals, Save Deal, F&I Screen and Customer Workscreen. You'll also see that certain fields in the deal display become editable: selling price, trade in numbers, cash down, term and rate. When you change a number, the deal is automatically recalculated and the payment and profit are updated.
Granting Access
- Click on Admininistrator on the Navigation Bar (top toolbar)
- If necessary, click on Dealership Settings on the Menu Bar (second toolbar from top)
- Click on User Access on the Task Bar (third toolbar from the top)
- Click on the User Name link to open the user's record
- In the Desking section (right column, second block down), the Access Working Deals Screen option is the last one in the block. Click on it to activate it.
Marking a Deal as a Working Deal
When in the F&I Workscreen, click on the Working Deal? checkbox to send the deal to the Working Deals Screen.
Accessing the Working Deals Screen
Either:
- Click on the Car-and-Dollar-Sign icon at the top of every page
- Click on Working Deals on the Menu Bar (second toolbar from the top) of Prospect Logs
- Click on Working Deals on the Menu Bar (second toolbar from the top) of a desking screen
- New F&I Proposal: Cost vs. Payment
Version 8.0.86.0, 8.0.85.0, 8.0.75.0, 7/23/08, 7/18/08, 7/9/08 A new proposal has been added to PMOL: the Cost vs. Payment proposal, accessible from the F&I Workscreen (when properly configured) or from the Buy/Lease Propsal. The Cost vs. Payment proposal, as indicated, compares the costs of a prospect's current vehicle (MPG, repairs, value) against the costs/payment of a specific vehicle from your dealership. An added tool -- the MPG calculator -- helps calculate the prospect's current vehicle's mpg (from the price/gallon of gasoline, miles driven per week and weekly gas expenditures) if the prospect doesn't know it offhand.
Selecting Cost vs. Payment as the default F&I Proposal
- Click on Administrator on the Navigation Bar (top toolbar).
- If necessary, click on Dealership Settings on the Menu Bar (second toolbar from the top).
- Click on Buy-Lease Proposal on the Task Bar (third toolbar from the top).
- The ninth item down on the left side of the screen is "F&I Workscreen Proposal Type." Click on the drop down list, then click on "Cost vs. Payment."
- To print this proposal from an F&I Workscreen, click on the Print Proposal button at the bottom of the screen (last row of function buttons, second button from the left).
Printing from a Buy-Lease Workscreen
- Click on a Lease or Buy deal from the Deal Worksheet.
- Make adjustments as necessary. Click on Print Proposal at the bottom of the screen (last row of function buttons, second button from the left).
- Your default Buy-Lease proposal screen will open. Click on the Cost vs. Payment Proposal link on the Task Bar (third toolbar from the top).
- Fill in the required information (payment on trade-in, current vehicle mpg, new vehicle mpg, price of gas, miles driver per month, last year's repair costs, value of current vehicle at term, value of new vehicle at term). As you fill in this information, the fields on the right side of the screen will change. If the Total Monthly Savings is negative, it won't be displayed.
- Bi-Weekly Payments
Version 8.0.58.0, 8.0.56.0 6/2/08, 5/23/08 A bi-weekly payment option is now accessible from the F&I Menu. This option defaults to unchecked; when checked, the number of bi-weekly payment months is shown on the F&I Menu screen, the F&I Menu printouts and the F&I Workscreen Proposal print-out. (The bi-weekly payment months is the number of months it would take to pay off the loan if an amount equal to 1/2 of the monthly payment was paid every 2 weeks.)
Configuration - There are two places to turn this option on
First Place
- Click on Administrator on the Navigation Bar (top toolbar)
- If necessary, click on Dealership Settings on the Menu Bar (second toolbar from the top)
- Click on F&I Menu on the Task Bar (third toolbar from the top)
- The Show Bi-Weekly Payments option is at the top of the second column in the top left quadrant. Click on it to check it off.
Second Place
- Click on Administrator on the Navigation Bar (top toolbar)
- If necessary, click on Dealership Settings on the Menu Bar (second toolbar from the top)
- Click on Buy-Lease Proposal on the Task Bar (third toolbar from the top)
- The Show Bi-Weekly Payments option is at the bottom of the left column. If you check it off, you will have to disable Base Payments, since the Alt-Choice and 4-Square printed proposals won't print both a base payment & a bi-weekly payment
To Use the New Option
- From an F&I Workscreen, click on the Finance Menu button (first row of function buttons, very end of the row)
- Choose a Finance Package
- Click on Bi-Weekly Payments
- The payments will display at the very bottom of the screen.
- OFAC Button Color Guide
Version 8.0.42.0 4/21/08 The OFAC button (OFAC is part of the PMOL Compliance Package -- for more details, contact your PMOL salesperson) is located on the Customer Workscreen, in the Signed Documents box. Here is a guide to the different colors it can appear as:
- Gray
(disabled) -- dealership does not subscribe to OFAC through PMOL
- Yellow -- customer hasn't been checked against the OFAC list
- Green -- customer wasn't a hit the last time that the customer was checked
- Red -- customer is an OFAC hit.
No matter the color (except Gray), when you click on the OFAC button, you perform a check on the customer (and co-applicant, if there is one).
- Cash, Wholesale Screens Combined
Version 8.0.62.0, 8.0.47.0 6/9/08, 5/2/08 The Cash F&I screen in PMOL Version 8.0 is now a Cash/Wholesale F&I screen. You select the type of deal by clicking on radio buttons for each type -- the screen defaults to Cash. If you select Wholesale, then the sales tax rate, sales tax amount, Doc Fee, License Fees, Title and Registration fees are changed to 0. If you enter a sales tax rate, then the sales tax amount is calculated and included in the Total Due from Customer. You can also switch to a Cash deal from the Retail or Special Finance F&I screens. Simply click on the Retail Lendor button, then click on Cash from the pop up menu.
- New! ProMax Online Version 8.0!
Version 8.0 of ProMax Online was unveiled in February at the NADA 2008 convention. The new version is offered as a free upgrade to current customers after taking part in a training session.

- Are You Signed Up for OFAC?
12/20/07, 1/15/08, 4/8/08, 4/9/08 Versions 7.11.20.0, 7.11.24.0, 8.0.36.0, 8.0.37.0 PMOL has offered OFAC checks when you pull credit bureaus for a while. Now, if you're signed up for our OFAC service, ProMax conducts an OFAC check when:
- You enter a customer into PMOL (full or partial name match)
- You enter a name change (full or partial name match)
- You, or the system, creates a Showroom Visit
- You click on the "Run OFAC" button on the Customer Workscreen
(Partial Name Match can now be triggered by scanning a prospect's driver's license.)
The CHECK OFAC button is located in the Signed Docs box of the Customer Workscreen. If there is no hit, the button changes to green and will read NO OFAC HIT. If there is a hit, the button turns red and reads OFAC MATCH.
If the Applicant and/or CoApplicant is an OFAC Hit, a dialog box pops up to warn the user that there's been a hit. Compare the information in the popup with the information you've entered for the customer. Make changes in the Alert Screen for the appropriate fields if the prospect is a hit. If the information is correct, you can either click on Verify or on No Match. On the Verify Match screen, you can click on a link to the OFAC website for more info.
If a prospect is flagged as a hit, then OFAC MATCH will appear as a link under this person's name in the Prospect Log. When you click on this link, the OFAC Match information screen will open.
Whether or not the user is a match or not, the system will create a Customer Note that will state the prospect's OFAC status.
If there's a hit on EzUp, the user can no longer enter data until he or she chooses a SalesRep at the top of the screen. This feature will properly record the Employee ID when an OFAC hit occurs.
- Submit App/Save Deal Structure
4/1/08 Version 8.0.32.0 In the Submit App screen, when you create a deal to submit by typing in the year, make, model and style of a vehicle (rather than by typing in a stock #), you will now see a Save button in the View Deal Structure screen.
When you click the Save button, the vehicle specificiation you entered is saved for the dealership.
When you've saved at least one deal structure, a new option appears on the Submit App screen: Submit a Saved Deal Structure. When you select this, a saved deal structures drop-down list appears.
If you select a saved deal structure, the year, make, model, style, miles and value are retrieved and a deal to submit is created.
When you select Submit a Saved Deal Structure, a Delete button appears in the View Deal Structure so you can delete saved deal structures from the list.
Where is the View/Save Deal Structure Button?
- Open the Submit Application screen (from the Customer Workscreen or from the shortcut menu you get by clicking on the prospect's name on the Prospect Log)
- View/Save Deal Structure is located at the bottom of Step 2, "Select Deal."
- Mass Mailings
3/27/08 Version 8.0.31.0 Mass mailings will now be cancelled if they don't have a subject line. Lack of a subject line can classify your email as spam.
- Vary Term in the Vertical Multi-Option Proposal
3/19/08 Version 8.0.26.0 There's a new option in the Vertical section of the Multi-Option Proposal Configuration Screen: Vary term from F&I Workscreen. If you check this option, and the Print Vertical Proposal from F&I option, then when you click on the Proposal button in a deal F&I screen:
- the Cash Down from the deal is shown in all three Down boxes on the Proposal screen
- the Cash Down in the Proposal print out is varied by showing the deal cash down, the cash down doubled and then doubled again.

3/12/08 Version 8.0.23.0 If employees don't have titles, they will no longer appear in the list of employees that pops up when you click on Daily Workplan in the BDC tab, nor will they have columns in the Manager View Daily Work Plan.
Entering an employee title
- Click on the Administrator Tab on the Navigation Bar (top toolbar)
- Click on User Access on the Menu Bar (second toolbar from the top)
- Click on the employee's name in the User List
- The Title option is the sixth line of information in the employee's User Screen. Check off all appropriate title boxes.
- AutoResponder Updates
11/19/07, 11/20/07, 11/28/07, 11/29/07 Versions 7.11.10.0, 7.11.12.0, 7.11.13.0, 7.11.14.0 Variables have been added to the AutoResponder option found under Broadcast Email. These variables allow more customization of the auto-generated responses emailed to customers. The variables display, act, and fill in information the same way that the Letter Writer variables do. The Insert Variable button is located just under the Lead Source scroll box on the AutoResponder Configuration page. For more variable choices, see the two scroll down boxes immediately to the left of the Insert Variable button.
Accessing AutoResponder.
- Click on the Administrator tab on the Navigation bar (top PMOL toolbar).
- Click on Broadcast Email on the Menu bar (second toolbar from the top).
- Click on either ProLink or Website AutoResponder Configuration on the gray popup box.
- Just above the editing area are the variable scroll boxes and Insert Variable button. The first scroll box contains the categories of variables available. The second scroll box shows the variable choices within the chosen category.
For example: if you choose Dealership Information in the first box, the second box will show you the choices of Name, Address, City State Zip, Phone, Website, and ProLink (depending on what your dealership is subscribed to).
- New Print Function for Customer Workscreen
11/29/07 Version 7.11.14.0 The Credit Bureau Authorization Sheet (for a customer's signature) has been added to the Customer Workscreen's Print function found in the Notes area. This form can be edited from the Administrator area of PMOL. Now when a bureau is run, if the signature pad is active, then the PMOL user will be prompted if the customer has not signed a Credit Bureau Authorization Sheet in the last 30 days.
To print a Credit Bureau Authorization Sheet from the Customer Workscreen.
- Click on Print in the Notes area.
- Click on Print Credit Bureau Authorization Sheet on the gray popup menu.
To edit the Credit Bureau Authorization Sheet.
- Click on the Administrator tab on the Navigation bar (top PMOL toolbar).
- If necessary, click on Dealership Configuration on the Menu Bar.
- At the bottom of the Dealership Information screen are several links. Click on Digital Signature.
- Edit the text in the popup box to what you want it to say.
- Total Rebate Added to Multi-Option Proposal
11/28/07 Version 7.11.13.0 In the printed Multi-Option Proposal from the Deal Worksheet (the one printed when Vertical is NOT selected) in the Lease Option section a Total Rebate row has been added between the Trade Equity and Dealer/Acquisition Fee rows that shows the actual total rebate for that selected lease deal.
To print the proposal from the Deal Worksheet:
- Fill out the Deal Structure section.
- Choose the Lenders to structure the deal on.
- Click on Calculate.
- Click on the Multi-Option Proposal button.
- Choose the payments to include on the proposal.
- Click the Print link on the Task (third toolbar from the top).
Selecting or Deselecting the Vertical Proposal.
- Click on the Administrator tab on the Navigation bar (top PMOL toolbar).
- If necessary, click on Dealership Configuration on the Menu bar (second toolbar from the top).
- Click on Buy-Lease Proposal on the Task bar (third toolbar from the top).
- Click on the Multi-Option Proposal link in the left column, mid-way down the page.
- In the pop up box, find the Vertical Proposal area, then click on Yes or No for the option Print Vertical Proposal.
- Viewing Sensitive Information
11/16/07 If you're restricted from viewing customers' sensitive information (Social Security Number, Income, Date of Birth, Cash Down, etc.), then you won't be able to see Customer Workscreen Notes that contain this information. For instance, if a lead imported from a lead generation service contains a customer's social security number or date of birth, you won't be able to see the note unless you have this access checked off in User Access. Ask your store's PMOL Administrator for assistance.
Granting Sensitive Access
- Click on the Administrator Tab on the Navigation Bar (top PMOL toolbar).
- Click on User Access on the Menu Bar (second PMOL toolbar from the top).
- Click on the user's name that needs this access.
- Find the appropriate access to be granted in the user's Customers/Prospects section. Examples include View DL and SSN, View DOB, and View Income and Cash Down.
- Click on the checkbox next to the access to be granted. When checked off, the user can view that information.
It is recommended that access to sensitive information be restricted to manager level and above.
- Show Rebates on Website
10/23/07 Version 7.10.97.0 You can now control whether or not you want to show rebates on your PMOL website inventory. An option has been added to the Inventory Edit screen for new vehicles for this purpose. The default state for this option is determined by a checkbox that has been added to the Inventory Settings screen in the Administrator Module.

- Click on Inventory Settings on the Task Bar (third PMOL toolbar from the top).
- The new option is in the lower left of the screen and reads "Inventory Maintenance Screen: Default Show Rebate on Web Option."
- Leave the checkbox blank if you want the default to be Do Not Show Rebates on Website. Check the box if you want the default to be Show Rebates.

- Insurance Company Popup on F&I Menu
10/19/07 Version 7.10.96.0 When you prepare an F&I Menu for a customer, if you wish to include insurance, you must click on a Credit Life or A&H Insurance link to select the appropriate coverage from a popup window. Now, if you have configured more than one company that offers the same type of coverage, another window will pop up in which you can select which insurance company to use.
The F&I Menu is opened from a red button on the F&I Workscreen. (A deal has to be structured before you can open the F&I Menu.)
Where do I configure the F&I Menu packages?
- Click on the Administrator Tab on the Navigation Bar (top PMOL toolbar).
- If necessary, click on Dealership Configuration on the Menu Bar (second PMOL toolbar from the top).
- Click on F&I Menu on the Task Bar (third PMOL toolbar from the top).
Configuring Credit Life and A&H Insurance.
- Click on the Administrator Tab on the Navigation Bar (top PMOL toolbar).
- If necessary, click on Dealership Configuration on the Menu Bar (second PMOL toolbar from the top).
- Click on Calculations on the Task Bar (third PMOL toolbar from the top).
- At the bottom of the Calculations screen are the links for Credit Life (A = Per Annum, T = Per Term) and A&H Insurance tables. Click on the appropriate link, click on Create New, and begin entering your insurance information.
be sure to title the insurance table with the name of the insurance provider and the type of insurance. You may have to abbreviate to fit the information into the title space.
- New Conventional Lender Fixed Payments Option
10/19/07 Version 7.10.95.0 A new option added to Conventional Lender presets opens the door for lender programs in which the first X payments are a fixed amount and the remaining payments are calculated to pay off the loan. (For example, the first 4 payments could be $500.00 each, and the remaining 56 payments could be $354.84 each.) These payments will display on a Retail F&I Screen just above the red Proposal button in the third column, with the First Payments & Amount listed first, then the Remaining Payments & Amount listed next.
Locating the new Lender Preset option.
- Click on the Administrator Tab on the Navigation Bar (top PMOL toolbar).
- Click on Lender Guidelines on the Menu Bar (second PMOL toolbar from the top).
- Click on the type of lender (SF, Conventional, Lease, Balloon).
- Click on the lender's name in the list.
- Click on the Tier you wish to configure.
- Click on the Adjustments tab.
- The option is labeled "Enable fixed payments." Enter your information.
- Click on the Back button.
- Click on the Yes button in the Save Changes popup box.
- Click on the Back button to return to the lender list.
- Send Bulk Email Option
10/19/07 Version 7.10.95.0 Don't want an employee sending bulk emails? A new option added to User Access allows you to stop bulk emailing (sending email to more than one prospect at a time) on a user-by-user basis.
- Click on the Administrator Tab on the Navigation Bar (top PMOL toolbar).
- Click on User Access on the Menu Bar (second PMOL toolbar from the top).
- Click on the employee's name in the User List.
- The new option is located in the Message Center section. Check the box to allow the user to send bulk email. Uncheck it to remove this ability.
- User Templates & Dealer Groups
10/18/07 Version 7.10.94.0 Now User Access templates can be saved and edited for all stores in a dealer group. When you create a new template or edit an existing one, and you're part of a dealer group, PMOL will ask if you want to save the new/edited template for the entire group. Be aware that you will overwrite any existing templates with the same name.
Creating a template.
- Click on the Administrator Tab on the Navigation Bar (top PMOL toolbar).
- Click on User Access on the Menu Bar (second PMOL toolbar from the top).
- Click on Create User on the Task Bar (third PMOL toolbar from the top).
- Click on Create User Template on the Task Bar.
- Give the template a name, check off options, click on Save Template.
- If you wish to save the template for all stores in the Dealer Group, click on Yes when PMOL asks.
- Replacing Salesrep Option
10/18/07 Version 7.10.94.0 Currently, when you delete a Salesrep 1 for a customer, Salesrep 2 for that customer becomes Salesrep 1. With a new option that's just been added to BDC Configuration, you can now choose who will be the new Salesrep 1 when the old Salesrep 1 is deleted.
- Click on the Administrator Tab on the Navigation Bar (top PMOL toolbar).
- Click on BDC Settings on the Menu Bar (second PMOL toolbar from the top).
- Scroll down to the bottom of the BDC Settings screen.
- The new option reads "When replacing the salesrep 1 for a customer with a salesrep 2 replace salesrep 1 with" and your options are:
- "Salesrep 2 leaving no Salesrep 2" - the current method described above will stay in place; or
- "Selected replacement Salesrep" - you select the replacement salesrep, whether there is a second salesrep or not.
- Credit Application Submissions
9/13/07 Version 7.10.78.0 You can submit a prospect's credit application from the Prospect Log (provided, of course, the app has been correctly and completely filled out). A new link has been added to the menu of screens available -- Submit Credit App -- that opens when you click on a prospect's name in a prospect log.
- Click on the Prospects & Customers Tab on the Navigation Bar (top toolbar).
- Click on the prospect's name.
- On the menu that pops up, click on Submit Credit App.
- The Credit Application Submission Screen will open. Update/correct any information necessary, select deal to submit, and select lenders.
- Click on Submit Application.
- Preventing Accidental Employee Deletion
9/13/07 Version 7.10.78.0 Added insurance for those times when you accidentally delete an employee from your user list. There is a Cancel button now on the Reassign Prospects Screen that opens when you delete a user name. Clicking on Cancel prevents reassignment of the prospects and deletion of the employee.
- Current Location (Dealership Name) on BDR View
Version 7.10.52.0 7/13/07 In the BDR View (the main menu that salesreps and BDRs see when Use PMOL Saleman/BDR View is selected in BDC Settings), the current location (the logged-in dealership name) is now visible. The red dealership name is located at the top of the screen, to the right of the PMOL logo.
- Transferred Owner Equity Customers
Version 7.10.52.0 7/13/07 When you deliver a customer, that customer is listed in your dealership's Owner Equity. If the customer is then transferred to another dealership in your group, the delivery will still show up in your store's Owner Equity screen.
Now when you now click on a transferred customer in the Owner Equity screen, PMOL checks to see if you can recall customers at other dealerships. If not, then a denied permission message pops up. If yes, then a note pops up that says the customer now belongs to another dealership and then asks if you still want to open the Customer Workscreen.
The Owner Equity link is located on the second row of navigation, the Menu Bar, when you are viewing Prospect Logs. Click on Owner Base to open the equity list.
- Service Contract Multiplier
Version 7.10.51.0 7/13/07 The Service Contract dialog box now contains a profit multiplier, which modifies the Service Contract Profit to take the multiplier into account. The multiplier defauts to 100, so there will be no change unless you manually change the multiplier.
Multiplier Formula: Service Contract Profit = Price x __% minus Cost. (If you don't fill in the percentage amount, the system defaults to 100.)
The Service Contract link is located on the F&I Workscreen and the Deal Worksheet. Click on the underlined link to open the Service Contract box.
To set up the multiplier:
- Click on the Administrator Tab on the Navigation Bar (top toolbar).
- Click on Desking on the Menu Bar (second toolbar from the top).
- Click on the Service Contract link at the bottom of the Desking screen.
- In the Service Contract pop up box, set the multiplier percentage. It's in the lower left corner of the pop up box.
