For users not Desking in ProMax, you are now able to deliver customers just by selecting the correct vehicle information. This allows the Filter/Sort and Communications features within ProMax to be utilized without having a deal.
How it works:
1. Select the Customer Status of ‘Delivered’ (Fig 1) or mark a showroom visit delivered (Fig 2)
2. Select from the ‘Stored Deals’ popup (Fig 3)
3. Complete the vehicle information on the ‘Vehicle Delivery’ popup (Fig 4) and select
Once delivered, the customer will be moved to the ProMax Owner Base (Fig 5) for future reference. |

A new summary report has been added to the Inventory tab on the Manager’s Dashboard (fig 1). On this new report, a row is displayed for each model (by year) in your current new vehicle inventory, plus any models sold during the previous or current month.
The following columns are available on the report:

A new report has been added to the Reports Menu called "Risk Based Pricing Report". This report will check Risk Based Pricing notices created during given report period and display one line per customer/pulled date with compliance status. If multiple Bureaus are pulled on a day for a customer, the “CB Type(s)” column will show each Credit Bureau for the customer. |

Incomplete Application Letter:
From the print menu on the Customer Workscreen, Credit Application, or Run CB, you now have ability to print an Incomplete Application letter for either applicant. Any missing information on the customer record will automatically be marked on the letter.

- ‘Below Minimum Income’ has been removed.

Rejected Letter changes and auto population:
1 - If a credit report has been pulled in ProMax within 30 days, the “YES” checkbox in the “DEALER OBTAINED A CREDIT REPORT” section will automatically be checked.
2 - An “X” will be present for each Credit Reporting Agency in which a bureau was pulled for the last 30 days.
3 - If a credit report that includes a score has been pulled, the “YES” checkbox in the “DEALER OBTAINED AND USED A CREDIT SCORE” section will automatically be checked.
4 - If a credit report (that includes a score) has been pulled, the credit score, date pulled, and potential score range are listed. If multiple scores are available, the lowest (non zero) score is displayed.
5 - Up to 4 Key Factors that affected the displayed credit score are displayed. If “Number of Recent Inquiries” was a factor, 5 total risk factors will be displayed.
6 - If “Yes” was selected on the new “3rd Party Reference Information” popup in ProMax, “Yes” will automatically be checked in the ‘DEALER OBTAINED INFORMATION FROM THIRD PARTY ABOUT CREDITWORTHNESS” section on the letter.
7 - If the customer has been submitted in ProMax (RouteOne, DealerTrack, CAC, ACC, or via FAX) the “YES” checkbox in the “DEALER SUBMITTED YOUR APPLICATION TO FINANCE SOURE(S)” will automatically be checked.

When changing the 'Adverse Action' status in either the Manager Exit Note or Compliance Review screen to 'not submitted', 'declined' or 'counter offer rejected' - ProMax will popup a 'Third Party Information Collection' screen. The popup will also appear when printing an Adverse Action letter.
Information Collection If the user indicates that credit worthiness information was obtained from a third party, a note must be entered in the memo field. This information will be saved under the customer notes for future reference.
If “Yes” was selected on the popup, “Yes” will automatically be checked in the ‘DEALER OBTAINED INFORMATION FROM THIRD PARTY ABOUT CREDITWORTHNESS” section on the letter.
Application Submission Users are now able to indicate an application was submitted for a customer outside of ProMax. If a application was submitted inside Promax, “Yes” will automatically checked.
If an application was submitted, or if “Yes” was selected on the popup, “Yes” will be checked in the “DEALER SUBMITTED YOUR APPLICATION TO FINANCE SOURCE(S)” section on the letter.
If a user selects “Yes” on the popup, a date/time stamped note will be generated and displayed in the notes on the Customer Workscreen. |

IMAP mail download functionality has been added to ProMax (fig. 1). A config panel (fig. 2) has also been added for designating the IMAP inbox folder.
This new feature is used when a user wants to view email messages from multiple locations without the worry of one mail client grabbing the message first, or having to set up mail forwarding. If using IMAP in ProMax, an additional email client software (Outlook, web mail, mobile device…) is required to delete messages from the mail account (to prevent the mailbox becoming full).
*Note - Once IMAP has been set up, the initial download of an IMAP mailbox will include all “unseen” messages only. From that point on, all messages newer than the last one downloaded will be retrieved.
For mail accounts that are exclusively used by ProMax, the Incoming Mail Server dropdown (fig. 1) should be left as POP3. |

You now have the ability to configure duplicate lead handling in ProMax. Each Lead Source in your ProMax system can be configured for “Type Of Match”, “Action Taken” on duplicate detection, and “Lead Notifications” on duplicate detection.
The information below outlines how to configure Dupe Lead Handling and answers some Frequently Asked Questions you may have. We’ve also provided some Suggested Settings for various lead types.
The configuration for Dupe Lead Handling can be found in the Admin section of ProMax under Lead Delivery. When configuring Lead Delivery Options for new Lead Sources, you can conveniently configure your duplication detection and handling options at that time. Below (Fig. 1-1) shows how to access the Dupe Lead configuration.
The Duplicate Lead Handling Configuration popup is broken down into 4 sections for configuring each Lead Source.
The first section (Fig. 2-1) is used to configure how ProMax determines if a new lead is a duplicate.

The 2nd section (Fig. 2-2) is used to configure what action ProMax will take when a dupe lead is detected.

m Create a new customer but reuse the same employee assignments (no rotation)
m Add note to existing customer record with lead details (no rotation) (No new customer is created)
The 3rd section (Fig. 2-3) is used to configure what type of notification is sent when a dupe lead is detected.
New Lead Notifications If A Duplicate Is Detected
m Normal - flag as new lead and send out new lead notifications
m Skip - neither flag as new lead or send out new lead notifications
The 4th section (Fig. 2-4) is used to configure additional dupe lead notifications. This can be any email address desired and only serves as a simple email alert to notify a duplicate lead has been processed.
Once each selection on the configuration has been verified, the popup can be closed. This process needs to be repeated for each lead source.
Frequently Asked Questions
Q. What is the purpose of the email notification for duplicate leads? A. Dealers can use this option to either alert themselves when a duplicate has been detected or they can also use this option to send an email to their lead provider alerting them that they provided a duplicate lead
Q. Why would I as a dealer, want to receive an email notification when a duplicate lead has been detected? A. This option would typically only be used by the dealer that decides NOT to use the “add note to existing” option and instead has a new customer record created. This allows the dealer to be notified a duplicate was detected, and then they can decide if they want to merge the records themselves or not.
Q. Will an auto-responder be sent out on duplicate leads? A. Yes, all configured auto-responders will be sent out on every lead, even if the “add note to existing” option is selected.
Q. What if the system auto-merges a customer that actually isn’t a duplicate? Example: Husband and Wife using the same email address A. Contact your ProMax account representative and they will be able to get the 2 records separated.
Q. How will this functionality affect my certified lead management? A. There will be no effect on how activities are tracked and reported back to your manufacturer for certified lead management. Any time a new lead is created, the dealer must issue a trackable activity to show they have contacted the customer. If the dealer uses the “add note to existing” option, they simply need to mark an activity (send email or make phone call) after the duplicate lead has been created. This is the same process currently in place.
Q. How will I know when a new lead is auto merged? A. When a new lead is added to an existing record (add note to existing option), you will still be notified via the message center. A system note (Duplicate Lead Detected) will be added to the record that contains the details of the new lead.
